The systems that work when motivation fails

1 Insight From Me

February 2024. First day after losing my job and learning Florena had cancer.

I could have relied on motivation to carry me through. But motivation is unreliable. It comes and goes. In crisis, motivation disappears.

So I didn't build on motivation. I built systems.

System 1: The Morning Anchor

Every single morning—no matter what happened the night before—I did the same 35-minute routine. Water, meditation, gratitude, smoothie, Scripture, review. Rain or shine, crisis or breakthrough, I did it.

Why? Because I didn't have to decide every morning whether to do it. The system decided for me.

System 2: The Job Search Protocol

Instead of randomly applying to jobs and hoping, I built a system: 10 applications per day, minimum. But each application had to meet three criteria: aligned with my values, within striking distance of my qualifications, and posted within the last 24 hours.

This system meant I wasn't applying to 200 wrong jobs. I was applying to 10 right jobs. Efficiently.

System 3: The Weekly Review

Every Sunday, same time, I reviewed: What worked this week? What didn't? What do I change next week?

This one-hour system kept me from repeating the same mistakes and from missing the small wins.

System 4: The Florena Protocol

Every single day, I made her smoothie at 5:50 AM. I scheduled it like a meeting. It wasn't dependent on my mood or energy. It was a system.

What I learned: Systems are the difference between intentions and results.

Everyone intends to exercise. Few build the system that makes exercise inevitable (same time, same place, same trigger).

Everyone intends to be a good partner. Few build the system that makes it happen consistently (the smoothie at 5:50 AM).

Everyone intends to change careers. Few build the system that makes job searching efficient (10 quality apps per day vs. 50 desperate ones).

In 2024, when motivation disappeared, my systems carried me. They were unshakeable because they didn't depend on how I felt.

By December, when I landed the job, it wasn't because I finally got motivated. It was because I'd built systems that worked regardless of motivation. And those systems compounded into the resilience, discipline, and results that eventually paid off.

I.

"You do not rise to the level of your goals. You fall to the level of your systems." - James Clear

"By wisdom a house is built, and by understanding it is established; by knowledge its rooms are filled with rare and beautiful treasures." - Proverbs 24:3 (NIV)

1 Challenge

The System Audit

This week, identify ONE area where you're relying on motivation instead of systems.

Then build the system:

  • Define the behavior: What specific action?
  • Set the trigger: What time/place triggers it?
  • Make it inevitable: How do you remove decisions?
  • Track it: How do you measure consistency?

Example: "I'll exercise more" (motivation) → "Every Monday/Wednesday/Friday at 6 AM, 30-min walk from my house" (system).

One system beats perfect intentions every time.

Remember: Feed your mind. Fuel your actions. Find your fire. 🔥

Grit, Gratitude, & Grace Newsletter Reader 1 Insight From Me May 2024. Four months into crisis. I had a strong mind—I'd done the mindset work, the journaling, the reflection. I had a deep faith—morning Scripture, daily prayer, spiritual grounding. But my body was falling apart. I wasn't sleeping. My shoulders were in constant tension. I'd lost weight. My immune system was tanking from stress. I had headaches that lasted for days. And here's what I learned: A strong mind and a strong spirit...

Grit, Gratitude, & Grace Newsletter Reader 1 Insight From Me January 2024. Wife diagnosed with cancer. I had a choice—two ways to respond. The first way: Let it destroy me. Let the diagnosis become my identity. Let fear paralyze every decision. This would have been the easier path, honestly. No one would blame me. The second way: Let it refine me. Use the crisis as a laboratory for learning what I'm actually capable of. Let adversity teach me something. I chose the second way. Not because I'm...

Grit, Gratitude, & Grace Newsletter Reader 1 Insight From Me April 2024. Florena was in her third month of cancer treatment. I'd been unemployed for two months. We were $30,000 in debt. I had a job interview scheduled for 3 PM. The night before, I spiraled. Thoughts raced: "You won't get this job. You're not qualified. You're still unemployed because you're not good enough. Your wife is suffering and you're failing her." The next morning, I did something simple: I showed up. That's it. I woke...
